Summary
The Fleet Maintenance Clerk provides administrative support to the fleet maintenance department by entering and maintaining accurate data in the fleet management software. This role is responsible for processing work orders, tracking maintenance schedules, maintaining vehicle service records, and assisting with various clerical tasks to ensure smooth and efficient office operations. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced, team-oriented environment.
Principal and Essential Duties & Responsibilities
- Enter maintenance and repair data into fleet management software with a high level of accuracy.
- Create, update, and close work orders for vehicle service and inspections.
- Maintain up-to-date records of vehicle maintenance history and compliance documents.
- Assist in scheduling preventive maintenance and service appointments.
- Communicate with technicians, drivers, and vendors to track repair progress and parts availability.
- File and organize maintenance reports, invoices, and other documentation.
- Support inventory tracking for parts and supplies used in vehicle maintenance.
- Generate routine reports on vehicle usage, maintenance costs, and service schedules.
- Assist with onboarding and updating fleet asset information in the system.
- Perform general office duties such as answering phones, data entry, and document scanning.
- Ensure compliance with safety regulations and internal fleet policies.
Minimum Education
- High School Diploma or equivalent is required.
Experience Requirements
- Proficiency in Microsoft Excel and other financial analysis tools
- Exceptional organizational skills.
- Must be a self-starter able to obtain successful results with general supervision.
Experience Preferred
Environmental Factors and Physical Requirements
- Position is mostly sedentary but may require occasional moving to other offices or buildings.
- May need to move light equipment or supplies from one place to another.
- May need to access files, supplies and equipment.
- Work activity is in an office, open-partitioned, cubicle environment.
