Summary

We are seeking a highly organized and detail-oriented Fleet Asset Coordinator to provide administrative and operational support to the Fleet Asset Manager. This position is responsible for assisting in the tracking, documentation, and management of company assets, including light-duty vehicles, Class 8 trucks, trailers, and material handling equipment (MHE). The ideal candidate will be dependable, accurate, and comfortable working in a fast-paced environment.

 

This role plays a key part in ensuring that asset records are up to date and aligned with company standards and operational goals.

Principal and Essential Duties & Responsibilities

  • Maintain accurate asset records within the Fleet Asset Management system, including new acquisitions, disposals, inspections, and service updates.
  • Support the Fleet Asset Manager in collecting, organizing, and analyzing fleet data, such as mileage, fuel usage, service history, and utilization.
  • Prepare and distribute fleet-related reports on a daily, weekly, or monthly basis, as requested.
  • Assist in the coordination of asset tagging and inventory tracking activities.
  • Help manage incoming and outgoing vehicle documentation, including titles, registrations, and lease agreements.
  • Perform basic inspections upon delivery or return of vehicles and equipment, reporting discrepancies to the Asset Manager.
  • Assist with the coordination of asset disposals, including preparing equipment for sale, compiling condition reports, and updating disposition records.
  • Communicate with vendors, repair shops, and internal departments to gather information, confirm appointments, or verify asset status.
  • File and maintain physical and electronic documents in compliance with company recordkeeping procedures.

Education & Experience

  • High School Diploma or equivalent required.
  • 1–3 years of experience in an administrative, clerical, or fleet-related support role preferred.
  • Strong attention to detail with the ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office (particularly Excel); experience with fleet management or asset tracking software is a plus.
  • Excellent written and verbal communication skills.
  • Ability to work independently as well as collaboratively within a team.
  • Strong organizational and time management skills.

 

 

PREFERRED:  

  • Previous experience in transportation, logistics, fleet operations, or equipment tracking.
  • Familiarity with DOT or FMCSA compliance processes.
  • Experience with inventory control or enterprise resource planning (ERP) systems.

Compensation

This position has a target wage of $18.00 - $22.50 per hour, based on shift, experience and qualifications with annual bonus available (variable depending on performance). Overtime may be available.
