Summary 

 

Drive smooth, compliant, and high-performing feed mill operations as our Feed Mill Administrative Assistant. You will own payroll, purchasing, reporting, and documentation while partnering closely with operations, maintenance, finance, HR, and logistics to maintain accurate records, process transactions, and deliver timely insights. This role is ideal for a detail-oriented, service-focused professional who thrives on collaboration, problem-solving, and keeping day-to-day operations running efficiently in a fast-paced environment. 

 

Schedule: Monday through Friday, 8:00am-5:00pm 

 

Principal Essential Duties & Responsibilities 

  • Maintain employee roster and organizational records. 
  • Support daily administrative functions to ensure smooth mill operations. 
  • Upload and manage weekly records and documentation in SharePoint or designated system. 
  • Ensure accuracy and organization of operational and compliance documents. 
  • Process and validate labor distribution reporting. 
  • Validate company and temporary labor payroll hours. 
  • Ensure payroll data accuracy and timely submission. 
  • Process accounts payable transactions and invoices. 
  • Execute weekly and monthly voucher runs. 
  • Track and reconcile credit card usage and expenses. 
  • Maintain accurate financial documentation and records. 
  • Create and manage purchase orders (POs) in Maximo, including Mill Pos. 
  • Maintain PO checkbook and spending tracking. 
  • Coordinate receiving in Maximo, including direct stamp processes. 
  • Manage micro ingredients receiving slips and documentation keys. 
  • Generate and distribute operational and financial reports, including soy and corn usage reports, production and labor reports, feed mill statistics (FM IM), global post-process reports. 
  • Reconcile and post MTech receiving data. 
  • Ensure timely and accurate data entry, validation, and reporting distribution. 
  • Provide support for HR processes and benefits administration. 
  • Maintain employee records and compliance documentation. 
  • Assist with onboarding and administrative HR tasks. 
  • Ensure adherence to company policies and regulatory requirements. 
  • Ambassador for company programs and resources for associates to be informed. 
  • Coordinate events and activities to support a strong team environment to recognize associates and their accomplishments. 

 

Minimum Education and Experience 

  • High School Diploma or equivalent. 
  • 1-3 years of office/administrative experience. 
  • Proficiency with Microsoft Office (Excel, Word, Outlook) and comfort learning ERP or inventory systems. 
  • Strong written and verbal communication skills. 
  • Good organizational skills, attention to detail, and ability to manage multiple tasks with deadlines. 

 

Preferred Education and Experience 

  • Associate’s Degree or business/administrative coursework. 
  • Experience in agriculture, feed milling, manufacturing, or logistics. 
  • Basic bookkeeping/accounting familiarity. 
  • Ability to read and interpret production documents, shipping manifests, and invoices. 
  • Customer-service orientated with professional phone manners. 
  • Discretion with confidential employee and business information. 
  • Ability to work both independently and as part of a team. 
  • Flexible and problem-solving mindset. 

 

Physical Requirements and Environmental Factors 

  • Primarily office environment with frequent interaction in mill/warehouse areas. 
  • Occasional lifting of light boxes (up to —25 lbs.) and walking on uneven surfaces in plant areas; appropriate PPE required in production zones. 
  • May require occasional early mornings, evenings, or overtime during busy periods or audits.
